Assign multiple contacts to a question

Some client portal questions can be answered by multiple contacts (ex. multiple owners or office manager). It would be nice to be able to assign a question to multiple people. Once one of them responds, then everyone the question was assigned to would be able to see what was responded and by who.

I would love something like this! I have a client who wants me to assign questions to two different office staff, and I'm not sure the best way to handle it for now, lol. I'm sure we can figure out a workaround for now, but it would be a great feature to have!

Is this under review? How can we get this under review? It was last marked "Discussing with author" back in Feb 2023.

Absolutely crucial! I have contacts I haven’t added to the portal yet because I have no way to assign questions to only 2 out of 3 contacts. And yes, crucial to know who responded. Otherwise communication gets muddled.

YESS!!! And we need to be able to see WHO responded. For example, I have a client whose assistant answers most of the questions. The client wants to be able to see all the questions so we do not have "assignable questions" turned on. If the client answers saying "I don't have this information" I can't tell who said it and their other contact can no longer see the question b/c it has been "answered". Then I have to go back and respond with something to change the status back to "waiting on client" so that the other contact can see it. Its INCREDIBLY confusing for clients with multiple contacts.
Another example with a client who I do have assignable questions.... I choose to assign it to the manager, but they might tell me to then ask another contact. So then I reassign the question and ask it again in order the change the status. Then it is unclear about who provided which answer.

Be able to assign questions to multiple contacts for one company

Yes, this would expedite answers and keeps the "office manager" accountable for answering quickly :)

YES!! Certainly options for future developments / refinement, but this would absolutely solve the pressing need.

To the voters on this question: would "Admin Contact" roles with access to all questions address what you want here? (e.g., the owner can see all questions, but the office manager can only see the questions assigned to them)

Ben Stein: yes I believe that would work.

Ben Stein: yes, may not solve all our functionality issues but would certainly help

Taylor Vanderburgh: thanks! Can you elaborate on what other use cases this would not address?

Ben Stein: Yes! Would this also affect reminder emails? Ex. 3 questions in total, but no questions assigned to the office manager so they do not get a reminder email. Or Ex. 2 questions assigned to the office manager, so both admin and office manager get the email since the admin is able to "see" all questions?

Ben Stein: I think so. My need is more related to multiple owners, no office manager role. Like OP said "once one of them responds, then everyone the question was assigned to would be able to see what was responded and by whom." For example, Airbnb rental property, 4 owners all have purchasing abilities and I often don't know who to ask the "what's this for?" question to on an Amazon or Home Depot charge. So I want the ability to push out the question to all, one, or some on an individual transaction basis.

Ben Stein: one customer wants copies of the portal questions sent to their Slack channel (no such Zap exists yet!), so we set up a new contact under their profile called Slack. We need both the manager and the Slack channel to be assigned to each question.
But Keeper is not able to directly message the actual question in reference, just an email saying we have questions and to log in, so it doesn't quite work with the Slack channel. Still trying to figure out a solution. If you have ideas please contact me - we're lost on this one!

Ben Stein: For me, the "ideal" would be more customizable: where some questions could route to person A&B, and other questions to person B&C, and others to A only, .... and others to all 3! Many of my clients are small operations 2-10 employees, and there are usually 2-3 people that have all the answers, depending on the question!

Yes! This would be helpful. To have the ability to assign a question to 2 people. So some questions can go to person A only, but other questions can go to Person A and Person B.
