Secure Vendor Email Linking Without Client Portal Access

We often work with third-party vendors who send us reports and data on behalf of our clients. It would be extremely helpful to have these communications linked to the relevant client profiles within the CRM for tracking and context.
However, we do not want these vendors to have access to the client portal or any sensitive client information. The key requirement is to ensure there's zero risk that a team member could accidentally grant these vendors access to:
- Client communications (e.g., messages or questions)
- Financial information
- Uploaded files or documents
Ideally, we'd like a way to associate or tag these vendor emails in the CRM in a limited, internal-only way—strictly for organizational purposes—without triggering any access permissions or visibility for the vendors themselves.

Yes, this would be great!
I raised a similar issue with the onboarding team at Keeper. I just wanted to automate monthly data requests & data collection from third parties. They recommended this potential solution:
"After discussing this further with my team, our recommended solution would be to add this particular vendor as an unconnected client, thus allowing them to have access to their own unique portal to upload separate documents."
Doesn't really solve the broader issue because you'd want the specific report to be associated with the actual client.

Great idea! I also get emails from a client's team notifying me of things like a misprinted check or a refund received, and I'd love to have those emails show up in the client's "inbox" but not have those folks have any chance at accessing Keeper data.
